Most inspection software is built by programmers who have never stepped foot on a roof or crawled under an RV chassis. RV ScribeWare is different. As an active RV inspector, I found that existing tools were often too generic or didn’t align with the rigorous requirements of the NRVIA Standards of Practice (SOP). I didn’t just want a “checklist”—I wanted a professional workflow that allowed me to:

If the customer wishes to communicate the issues they expect to be resolved before purchasing, RV Scribeware has a ‘Create Request List’ (CRL) generator that allows them to share these issues, along with photos and customer expectations, with the seller.
The next update to the Template and Library will allow automatic generation of a technician’s punch list, which can be saved as a PDF with photos that the customer can provide to the dealership.
I built RV Scribeware due to frustration with data loss on a number of inspections. Scribeware was very helpful in porting the single template that handles Motor Homes and Travel Trailers, along with the library that I had built over the years of doing inspections.

Version 7 Features
A new Scribeware version is in the works. I have been using the Alpha test version for the last couple of months. From a recent YouTube presentation, the list of features in this new version is:
- Integrated Scheduling & Calendaring: ScribeWare is launching its own built-in scheduler, featuring a customer booking interface, online intake forms, customizable working hours, inspector assignment options, and automated buffer times between appointments. A new month/week calendar view is also available directly within the app.
- AI Integration & Assistant:
- Template Customization (Phase 1): Uses an AI model that “speaks ScribeWare” to help you quickly build out, manage, and customize your template library and comments using tools like Claude, saving hours of manual setup.
- Service Configuration: An AI assistant walks users through a natural-language interview to translate business pricing rules, sheets, or complex criteria (such as geographical surcharges) into active configuration entries.
- Payment Processing: Features built-in payment integration (via Pay Factory) right through the client portal, allowing customers to pay online by credit card, with configurable options to either absorb the processing fee or pass it to the client.
- Contracts & Digital Signing: Includes a much-improved, dynamic contract editor and signature workflow. Clients can sign multiple contracts consecutively in a seamless web experience without leaving the page.
- Report Locking: A highly requested feature that allows inspectors to automatically or manually lock reports, prompting clients to sign their contracts and complete payment before they are granted access to view the document.
- Message Automation: Supports automated emails (and text messaging in a subsequent release) that trigger based on custom conditions, such as sending appointment reminders or nagging emails for unpaid or unsigned inspections.
- Report Activity History: A detailed timeline tracking exactly when a report was created, when a client viewed the portal, signed the contract, paid the invoice, or when the report was officially published.
- Table Functionality: Available in ScribeWare 7, tables allow inspectors to build clean, structured datasets for items such as capital reserve studies, cost-to-cure charts, or full systems inventories, which is especially powerful for commercial inspections.
